Multi-step email sequences, sent from your own mailboxes
A sequence is a series of email steps with waits between them, aimed at a set of leads and sent from mailboxes you connect. You decide what each step says, how fast it moves, and whether anything goes out without your approval.
Sequences that send from your own mailboxes
SDRclose does not operate a shared sending pool. Every message leaves from a mailbox you own and connect, on your domain and under your reputation. The platform schedules, writes, paces and tracks; the sending identity stays yours.
Each sequence combines its steps and timing, the leads in it, and the controls on how it may act: a review queue that is on by default, and autopilot switches that are off until you turn them on.
Building a sequence
A new sequence starts empty. You add email steps, each with its own subject line, and wait steps measured in days between them.
Each email step can carry A/B variants. Write two subject lines or two openers and the sequence splits leads between them, so a hypothesis is tested against data. Every variant keeps its own statistics (see Statistics per step and variant below).
Per step, you choose between generated copy and a hand-written locked template. Generated copy is drafted from the lead's research notes and your workspace writing controls: tone, call to action, subject style, personalization depth and custom instructions. A locked template is sent exactly as you wrote it and is never rewritten.
A sequence that works can be duplicated. Clone it, re-aim the copy at a new segment, and keep the timing and settings that already work.
How leads enter and leave
Leads enter a sequence from a mining run, a saved list, a CSV import, or one at a time by hand. Auto-mining can top up a sequence daily with fresh prospects, up to a number you set.
A lead then moves through the steps on schedule until it reaches the end or something stops it. A reply removes the lead immediately, so a follow-up never lands on someone who has already answered. An unsubscribe removes the lead and adds the address to the suppression list. A bounce removes the lead and marks the address so nothing is sent to it again. You can stop any lead, or the whole sequence, at any time.
Out-of-office replies are a delay, not an exit: the return date is read from the message and the next step resumes on the following business day. Classification is covered under Reply detection.
The review queue and the three autopilot switches
By default, nothing sends without your approval. Each generated draft lands in a review queue where you read it, edit it if you like, and approve it. Approving a draft sends it. Drafts you do not approve do not go out.
When you trust a sequence, switch on autopilot for that sequence alone. Autopilot is three separate switches, each independent of the others:
Per sequence, never global
Autopilot applies to one sequence at a time. Turning auto-send on for one campaign has no effect on a new sequence, which starts in the review queue like every other.
- Auto-send: drafts go out on schedule without waiting in the review queue.
- Auto-reply: prospect replies are answered in your voice; anything the system should not answer alone is handed to you.
- Auto-book: times are offered from your real calendar and the meeting is booked when the prospect picks one.
Sending through your mailboxes
Connect the mailboxes you already use: Gmail and Google Workspace, Outlook and Microsoft 365, Zoho, or any SMTP and IMAP provider, through one-click presets or manual settings. Where two-factor authentication is on, the provider's app password is used. Mailboxes are account-wide: connect one once and every workspace on the account can use it.
Pacing is enforced, not suggested. Sends rotate across your connected mailboxes, and each mailbox has a daily cap, an hourly cap and a minimum gap between sends. A new mailbox goes through warmup on a progressive ramp, a guard keeps it out of cold sends until it is ready, and warmup mail is archived automatically.
Mailbox health is monitored, with alerts when a mailbox stops authenticating, starts bouncing or otherwise needs attention. SPF, DKIM and DMARC checks run inside the app. Setup advice is in the Deliverability guide.
Opt-out handling
Every sequence email carries a one-click List-Unsubscribe header, so mail clients can show a native unsubscribe control, and an opt-out link in the message itself. Either route adds the address to a permanent suppression list spanning every sequence and mailbox on the account. A suppressed address is never added to a sequence or sent to again.
Suppression records survive account deletion, so an opt-out honored today is still honored later. Honoring opt-outs is a requirement of the Acceptable Use Policy and is described in the Privacy Policy.
Statistics per step and variant
Each step, and each variant within a step, reports its own sends, replies and bounces, so you can see which subject line or opener is working.
Open and click tracking is a setting you control. It is off by default at the account level and can be enabled per sequence. Where it is off, nothing is added to your mail to track it.
Reply counting is strict. Bounces, out-of-office messages and auto-replies are never counted as replies, so the reply rate reflects people who actually wrote back.
Scope
Starter includes 3 sending mailboxes and 3 active sequences. Professional includes 6 sending mailboxes and 10 active sequences. Enterprise has a custom mailbox allowance and unlimited active sequences. See Pricing.
Sequences are email only. There are no LinkedIn, SMS or call steps. Per-mailbox caps cannot be raised for a one-off blast; they exist to protect your domain. The one exception is a direct reply in a thread the prospect has already answered, which is not a cold send and is not held back by the cap.
SDRclose tracks your outreach, not your pipeline. It is not a CRM and does not hold deal stages or forecasts.
Credits
Each generated email costs 1 credit when it is drafted. Sending a hand-written locked template costs no credits. Scheduling, rotation, warmup and statistics are included in every plan. Allowances and top-up packs are on the Pricing page.
Email copy is generated by a third-party language-model provider. Mailbox credentials are stored encrypted at rest.
